These Terms & Conditions apply to all services offered by Ace Khayiiran Expedition Marketing, a Tanzania-based travel and marketing company providing safari planning, volunteer hosting coordination, accommodation recommendations, and related travel services.
By contacting us, requesting a quotation, or confirming a booking, guests acknowledge that they have read, understood, and agreed to these Terms & Conditions.
Our Role
Ace Khayiiran Expedition Marketing acts as a tour coordinator and travel facilitator. We work with trusted local partners such as guides, drivers, accommodation providers, and community hosts.
While we carefully select our partners, many services are provided by independent suppliers, and their own operational conditions may apply.
Booking & Confirmation
Bookings are confirmed only after:
Agreement on the itinerary or service requested
Confirmation from the relevant service providers
Payment of any required deposit or fee
Once a booking is confirmed, guests will receive confirmation details through email or agreed communication channels.
Payments
Payment terms will be communicated clearly during the booking process. Accepted payment methods may include bank transfer, approved online payment systems, or other mutually agreed methods.
Guests are responsible for any bank charges or transaction fees associated with their payment.
Cancellations & Changes
If a guest wishes to cancel or modify a booking, they must inform Ace Khayiiran Expedition Marketing as soon as possible.
Cancellation policies may depend on the policies of accommodation providers, tour partners, or other suppliers involved in the itinerary. Any applicable charges from those suppliers may apply.
Travel Documents & Entry Requirements
Guests are responsible for ensuring they possess all necessary travel documents, including:
Valid passport
Visa (if required)
Vaccination certificates or health documentation
Guests should check official government guidance before traveling to Tanzania.
Travel Insurance
Guests are strongly advised to obtain comprehensive travel insurance that covers medical emergencies, trip cancellations, personal injury, and loss of personal belongings.
Ace Khayiiran Expedition Marketing cannot be held responsible for losses that could have been covered by travel insurance.
Health & Personal Responsibility
Guests are responsible for their own health and physical condition during travel. Any medical conditions, allergies, or special requirements should be communicated in advance so that appropriate arrangements can be considered.
Limitation of Liability
Ace Khayiiran Expedition Marketing takes reasonable care in organizing travel experiences. However, we cannot be held responsible for circumstances beyond our control, including but not limited to:
Weather conditions
Natural events
Government regulations
Park authority restrictions
Actions of third-party suppliers
Travel and safari activities may involve inherent risks, and guests participate at their own discretion.
Respect for Culture & Communities
Guests are expected to respect local communities, cultural traditions, wildlife regulations, and environmental conservation guidelines during their visit.
Force Majeure
Ace Khayiiran Expedition Marketing shall not be liable for failure to perform obligations due to events beyond reasonable control, including natural disasters, political instability, transportation disruptions, or other unforeseen circumstances.
Governing Law
These Terms & Conditions are governed by the laws of the United Republic of Tanzania.
